Getting a bookkeeping quote usually means a form, a discovery call, and a week of waiting, three times over because the board wants three quotes. This video runs the calculator above for three organizations of different sizes, shows what the monthly rate covers and what is separate, and explains why we publish the table when most firms do not.

Pricing FAQ
Transparent monthly pricing — what nonprofit leaders ask before getting a quote.
Nonprofit bookkeeping with GivingArc costs $300 to $1,950 per month. That is not an estimate of what the market charges. It is our price, and the calculator above will give you yours in under a minute.
If you have already searched this question, you have probably found the same thing we did: a page of articles from accounting firms, each offering a range, none of them telling you what that firm actually charges. The range is real, but it leaves you where you started, which is a phone call away from a number.
So this page does it the other way around. Below is exactly how our price is built, what moves it, and what other firms publish for comparison.
The monthly rate is not a judgment call. It is the sum of a base rate and up to two add-ons, and every one of them is something you can read off your own books.
| Input | What it measures | Effect on the monthly rate |
|---|---|---|
| Annual gross receipts | Seven tiers, from under $50K to $3M+ | Sets the base row: $300 up to $850 |
| Monthly transactions | Six tiers, from 1–50 to 400+ | +$100 per tier |
| Active grants | None, 1–3, 4–7, 8–10, 11+ | +$0 / $75 / $175 / $350 / $500 |
| Restricted fund tracking | Separate tracking of donor-restricted funds | +$100 |
Annual gross receipts sets the starting point. Under $200K in receipts, the base is $300. From $201K to $500K it is $400; $501K to $1M, $500; $1M to $2M, $700; and $2M to $3M, $850. Above $3M we quote individually within 24 hours, because at that size the work varies too much for a table.
Monthly transaction volume moves the base within that row. Each step up in volume adds $100, so an organization with 400+ transactions a month pays $500 more than one with fewer than 50, at the same receipts level. Transactions are what a bookkeeper actually handles, so this is the input that most directly reflects the work.
Active grants add tracking, reporting, and allocation work that does not exist without them. One to three grants add $75; four to seven add $175; eight to ten add $350; eleven or more add $500.
Restricted fund tracking adds $100 whenever you need donor-restricted funds tracked separately from unrestricted funds, which most organizations with restricted gifts or grants do.
Find your receipts row and your transactions column. That is the base rate before add-ons. Grants add $75 (1–3), $175 (4–7), $350 (8–10), or $500 (11+). Restricted fund tracking adds $100.

| Largest published configuration | $2.5M | 400+ | 11+ | Yes | $1,350 + $500 + $100 | $1,950 |
The $300 floor is a real configuration, not a teaser rate, and $1,950 is the ceiling of the published table. Form 990 preparation is separate: from $500 for a 990-EZ, from $1,500 for a full 990.
For comparison, here is what other nonprofit accounting firms have put in writing, with the dates they published it. These are their estimates of typical market ranges rather than their own price lists, with one exception noted below.
breakwater Accounting + Advisory (July 16, 2026) lists $300 to $600 per month for budgets under $250K and $800 to $1,800 for $500K to $2M. Numbers in Boxes (June 16, 2026) lists $300 to $800 for small nonprofits and $800 to $2,000 for mid-sized organizations; it also publishes its own nonprofit packages, starting at $1,155, $2,255, and $3,555 per month. Mission Edge (August 27, 2026) lists $500 to $1,000 for basic bookkeeping and $1,000 to $2,500 for full-service bookkeeping with reconciliations and reporting.
Our table sits inside those ranges. The difference is that ours is the number you will be billed, not a description of the neighborhood.
The rate covers the recurring bookkeeping: chart of accounts setup, bank and credit card reconciliations, monthly financial statements, and program and functional expense tracking, in QuickBooks Online. Every plan, from $300, also includes a monthly board-ready financial report written for non-accountants, delivered as a PDF to the executive director, with board questions answered by email. Form 990 preparation is a separate annual fee, listed on this page: from $500 for a Form 990-EZ and from $1,500 for a full Form 990. Form 1099-NEC preparation is an add-on.
Prices apply to new clients and are current as of September 2026. If the calculator and this text ever disagree, the calculator is the live figure. For organizations above $3M in receipts, use the calculator to request a custom quote.
