What’s Inside the Checklist
Most organizations do not miss the Form 990 because they refused to file. They miss it because the work lives in one person’s head and nobody knows what is still outstanding. These two files exist to move that list out of someone’s memory and onto paper, with a name next to every line.

The Four Questions This Answers
A filing checklist is only useful if it settles the questions that actually stall organizations. These are the four that come up most, in the order they matter.
Question 1
990-N / EZ / 990
Which return do we file?
Gross receipts normally at or under $50,000 means the 990-N. Under $200,000 in receipts and under $500,000 in assets means the 990-EZ. At or above either line, it is the full 990. The connector matters โ one test uses and, the other uses or.
Question 2
15th day, 5th month
When is it actually due?
The due date is the fifteenth day of the fifth month after your fiscal year ends โ May 15 if your year closes December 31. Check your determination letter first. A June 30 year end does not file in May, and that assumption is the most common way a deadline gets missed.
Question 3
6 months
Can we get more time?
Form 8868 grants an automatic six-month extension, but it has to be filed by your original due date. Calendar-year organizations extending in 2026 land on November 16. Form 990-N filers cannot extend at all.
Question 4
3 years
What if we already missed one?
One missed year is recoverable โ file as soon as you can. Three consecutive years triggers automatic revocation of exempt status under IRC §6033(j), backdated to the third return’s due date. If that has happened, reinstatement exists under Rev. Proc. 2014-11.
Who This Checklist Is For
ED
Executive Directors
You are signing the return and you want to know what is still outstanding without asking three people.
TR
Board Treasurers
Often a volunteer, often inheriting the role mid-cycle, and rarely handed a list of what the job includes.
BK
Bookkeepers
You know the books. This is the bridge between clean books and a return someone else has to sign.
NP
New Organizations
Filing for the first time, and unsure whether the 990-N is enough or whether something bigger applies.
How to Use This Checklist
1
Settle the form and the date first
Open the Which Form & When tab before anything else. Both answers depend on numbers you already have, and everything downstream changes if you get them wrong.
2
Put a name in every owner cell
An unassigned line is the one that does not get done. Blank owner cells are the single best predictor of a late filing.
3
Work the financial section before the rest
Reconciliations and the functional expense split take the longest and block the most. Governance documents can be gathered in an afternoon; the books cannot.
4
Run the pre-submission review out loud
Open last year’s return beside this one and compare the major lines. Anything that moved sharply either has an explanation or is an error, and it is easier to find now than in a letter later.
Frequently Asked Questions
Is this really free?
Yes. No email address, no signup, no gate. Download either file directly.
Which Form 990 does my nonprofit file?
It depends on two numbers. If gross receipts are normally $50,000 or less, you file the Form 990-N electronic notice. If gross receipts are under $200,000 and total assets are under $500,000, you may file the Form 990-EZ. If gross receipts are $200,000 or more, or total assets are $500,000 or more, you file the full Form 990. Private foundations file the 990-PF regardless of size.
When is the Form 990 due?
The fifteenth day of the fifth month after your fiscal year ends. For organizations whose year ends December 31, that is May 15. Confirm your fiscal year end against your IRS determination letter rather than assuming it is December 31.
Can I get an extension?
Yes. Form 8868 grants an automatic six-month extension, but you have to file it by your original due date. Calendar-year organizations extending in 2026 are due November 16, 2026. Form 990-N filers cannot request an extension.
What happens if we miss the deadline?
One missed year is recoverable, and you should file as soon as you can. Missing three consecutive years causes automatic revocation of tax-exempt status under section 6033(j) of the Internal Revenue Code, effective retroactively to the original due date of the third return. There is no appeal of the revocation itself, but reinstatement is available under Revenue Procedure 2014-11.
Does a missed Form 990-N count toward the three years?
Yes. The 990-N is an electronic notice with eight questions, but a missed 990-N counts exactly the same as a missed full return. Very small organizations are the most common victims of automatic revocation for this reason.
Is this checklist updated?
Yes. Every threshold and date in both files was verified against IRS primary sources in September 2026, and the Sources tab lists each one. Schedule B reporting thresholds and some state requirements change, so confirm the current-year form instructions before filing.
